‍Urban Fairway Limited ("Urban Fairway", "we", "us", "our") runs urbanfairway.co.nz and the indoor golf venue at 3b Melrose Street, Newmarket, Auckland. We respect your privacy and handle your personal information in line with the New Zealand Privacy Act 2020. This policy explains what we collect, why we collect it, and the choices you have.

‍WHAT WE COLLECT

We only collect personal information we need to run the business and look after you. Depending on how you deal with us, this can include:

  • Contact details you give us: your name, email address and phone number, for example when you use our enquiry form or ask about an event.

  • Booking and membership information: when you book a bay or join as a member through our booking provider, BayBooker, including your name, contact details, booking history and the payment details you enter to pay.

  • Marketing preferences: your email address and consent, if you subscribe to our newsletter or off-peak offers.

  • Website usage: basic analytics about how you use our site, such as pages visited, device and browser type and approximate location, collected through cookies and analytics tools.

‍We do not operate CCTV, and we do not knowingly collect information from children without a parent or guardian's involvement.

‍HOW WE USE IT

We use your information to:

  • take and manage your bookings, memberships and payments;

  • respond to your enquiries and organise groups, functions and corporate events;

  • send you offers, news and updates, but only if you have opted in (you can opt out at any time);

  • run, improve and secure our website and services;

  • meet our legal and tax obligations.

We only use your information for the purposes we collected it for, or a related purpose you would reasonably expect, unless you agree otherwise or the law allows it.

COOKIES AND ANALYTICS

Our website uses cookies and similar technologies to make the site work and to understand how it is used, through analytics such as Squarespace's built-in analytics and Google Analytics. You can control or delete cookies through your browser settings. Turning some cookies off may affect how the site works.

‍WHO WE SHARE IT WITH

We do not sell your personal information. We share it only with the parties that help us run the business, and only as far as needed:

  • BayBooker, our booking and membership platform, which processes your bookings and payments;

  • Squarespace, which hosts our website and provides analytics;

  • our email marketing provider, if you have subscribed;

  • professional advisers or authorities, where we are required or permitted by law.

Some of these providers are based overseas, for example in the United States, so your information may be stored or processed outside New Zealand. We take reasonable steps to make sure they protect your information to a standard comparable to the Privacy Act.

PAYMENTS

Payments for bookings and memberships are handled by BayBooker and its payment provider. We do not store your full card details on our own systems.

HOW WE STORE AND PROTECT IT

We hold your information in secure, access-controlled systems provided by the platforms above, and we take reasonable steps to protect it from loss, misuse and unauthorised access. No system is completely secure, so we cannot guarantee absolute security.

HOW LONG WE KEEP IT

We keep personal information only as long as we need it for the purposes above, or as required by law, such as tax records. When we no longer need it, we securely delete or de-identify it.

YOUR RIGHTS

Under the Privacy Act 2020 you can:

  • ask what personal information we hold about you and request a copy;

  • ask us to correct information that is wrong or out of date;

  • unsubscribe from our marketing at any time, using the link in any email or by contacting us.

To make a request, contact us using the details below. We may need to verify your identity first, and we will respond within the timeframes the Privacy Act requires.
